For Organizations: From trial to first ladder

You run a program with more than one person tracking matches, and you want results, rankings, ladders, and tournaments to live with the organization rather than in someone’s personal account. That’s what an Organization is for. Everything below happens in the web app at app.smashpoint.pro; members then play, track, and follow along on iPhone, Android, Apple Watch, Apple TV, or the web.

Every new Organization starts with a 14-day trial of all features. No credit card is required, and every member who plays gets Smashpoint PRO included. The Onboarding page in the sidebar is a six-item quickstart that tracks your progress through the same steps as this guide.

Steps

Step 1: Create your personal account, then the Organization

An Organization is always created from a personal account, so start there. If you don’t have a Smashpoint account yet, sign up for free in the web app first.

Then open the account menu at the top right. It’s where you switch between your personal account and any Organizations you belong to, and where you create a new one: choose + Organization. Give it a Display Name and a Web Address (your Organization’s public address is app.smashpoint.pro/your-url), pick your sports, and add a logo. All of this can be changed later under Settings, where you can also add a second Owner.

Once it exists, the Organization appears in the same menu. Everything you do while it’s selected, from adding members to recording a match, belongs to the Organization.

Step 2: Add your location and courts

Go to Location in the Admin section and add your facility with its address. Then add each court with its number, sport, surface, and whether it’s indoor or heated. Courts can be marked out of service when they’re closed for maintenance.

Mark your main facility as Home. Smashpoint uses that to label Organization matches as home or away, which matters for schools and clubs that play at other venues.

Step 3: Choose roles and add members

Open Members. Each member has one of five roles, shown on the Billing page:

Owner: everything an Admin can do, plus transfer ownership and delete the Organization.
Admin: manage members, billing, locations, courts, groups, ladders, tournaments, and events.
Coach: create and run practice sessions and drills.
Full: play in matches, ladders, tournaments, practices, groups, and events, and enter match results. Includes Smashpoint PRO.
View: follow results, rankings, members, and profiles. Cannot play or be added to anything. Always free.

Owners, Admins, Coaches, and Full members can all play in events and enter match results. Only members who actually play count toward your bill.

There are three ways to add people:

One at a time. Click the + next to the Members heading, enter an email address and pick a role. They’re invited by email and join once they accept; if they already have a Smashpoint account, the invitation also waits for them on their dashboard in the web app. Leave the email empty to add someone by name only: they become a Full member who can play in ladders, tournaments, practices, and events but can’t sign in. Add their email later on their profile and everything recorded under their name is merged into their account.
Import a roster. Click Import, choose Download template, fill in the spreadsheet, and upload it with Import CSV. You can also Import from contacts.
Guest Opponents. In the same + dialog, switch to the Guest Opponent tab. A Guest is a player from outside your Organization: no account or email needed, and free. Guests can be added to match results so your record stays complete, but not to ladders, tournaments, practices, groups, or events. Convert a Guest to Full if they join the program.

Filter the list by role (View, Full, Coach, Admin, Guest) to check who has what, and use Download members CSV to export it.

Step 4: Record your first Organization match

Go to Matches and click +. The New Match wizard has three steps: Info, Format, and Result. At the top of Info, Record to shows the Organization, so the match is saved to it rather than to your personal account. Pick the two players (members or Guests), the date, and the court; if the match is at your home location it’s labeled Home, otherwise Away. Switch on Track Live to score it point by point instead of entering the result afterwards, and pick a Ladder if the match counts toward one.

Members can do the same from the iPhone and Android apps, so coaches, parents who are members, and players can all record for the Organization from the court.

Step 5: Create a Group and run it as a ladder

Groups are how you rank a set of players: a squad, an age group, a Tuesday-night crowd. Create one under Groups, pick singles or doubles, add the players, and set the season dates. Any match between two players in the Group is added automatically, and the Group shows win/loss and ELO standings.

To turn that into a challenge ladder, go to Ladders and click +. The wizard has three steps: Info (name, dates, location, singles or doubles, gender, playing level, an optional fee and prize, and whether the ladder is public or closed), Rules, and Players. Under Rules you choose the system:

Leap Frog: a lower-ranked winner takes the loser’s ladder points plus 20; a higher-ranked winner adds 20 to their own. Classic challenge ladder.
Accrual: every winner adds 20 points, every loser gets 1 point per game won. Everyone climbs; nobody drops.

Set the match format (best of three, pro sets, single sets, match tiebreak, or custom), and note that any player may challenge any player, new players start at the bottom, and the organizer can add or remove players at any time. Members can request to join a public ladder unless you mark it Closed. Smashpoint does not collect fees on your behalf; use your existing membership or payment system for that.

Step 6: Run tournaments and practices

Tournaments builds singles or doubles brackets (draw sizes 16 and 32 are in use in the sample Organization) and tracks them from draft through active to completed. Practices lets Coaches schedule sessions with individual players or a Group, one-off or repeating, with attendance tracked. Events covers everything else on the calendar, such as clinics and workshops, with a time and court.

Step 7: See who’s improving

The Insights section is where the Organization’s data pays off. Rankings ranks members by win/loss or ELO rating for any period, and the Leaders mode ranks them by a single stat. Statistics and H2H give match totals and head-to-head records. Compare puts up to four players side by side: singles and doubles results, ELO, aces, double faults, errors, winners, and break-point conversion. Use it before selecting a lineup or reviewing a season.

Step 8: Know what happens after the trial

Billing shows your plan, the number of active players this month, and the member roles table. You’re billed only for members who actually played that month, in a match, a practice, or a tournament; View members are always free. Plans come in monthly or annual versions. Current prices are on the Pricing page.

If the trial ends without a subscription, the Organization switches to read-only: everything stays visible, but no new results can be recorded until a plan is active.

Good to know

Personal accounts don’t go away. Members keep their own Smashpoint account and history. Organization matches are stored with the Organization; the player still sees them in their own record.
PRO is included. Every member who plays has Smashpoint PRO for as long as they’re in the Organization, including the Live Tracker, Groups, and MCP access.
Data stays with the program. Roster, results, rankings, and ladders belong to the Organization, so nothing is lost when a coach or admin leaves. Add a second Owner under Settings so the Organization is never tied to one person.
Add people now, emails later. A member added by name only is a real Full member for ladders and tournaments. When they get an account, add the email and their history merges.
Guests keep records honest. Log outside opponents as Guests so a school’s away matches count, without paying for players who aren’t yours.
No fees collected. Ladder and tournament fees are yours to collect through your existing system; Smashpoint only records them.
Hosting and data residency. Smashpoint runs on AWS in the United States, with every connection encrypted. Organizations and federations that need their data held in Europe can request to run on AWS locations in the EU; contact us to arrange it before you set up.
Public page and search. A public ladder appears in Smashpoint search results, and your Organization has a public page at app.smashpoint.pro/your-url (set up under Settings › Public Page).
